Position Overview:
The Export Sales Coordinator role is responsible for managing export documentation, coordinating logistics, and ensuring compliance with international trade regulations. This role involves communicating with international customers regarding the ordering process and quotations, generating sales reports to track performance, and addressing and managing shipment issues through to completion. Additionally, the coordinator will work with other departments to manage inventory needs and delivery deadlines and support the wider UK sales team as needed with calls to settings and general day-to-day duties.

Key Responsibilities include:
- Collaborate with agents and freight forwarders to obtain transport quotations and options for client or delivery schedules, including courier, road, air, and sea freight.
- Prepare commercial invoices, packing lists, and other relevant export documentation to ensure correct documentation with each shipment.
- Liaise with customers, handle bookings, quotations, and confirmed orders.
- Maintain and distribute international reports, including all pending quotations and conversions.
- Ensure all orders raised have the correct “order type” for KPI tracking.
- Coordinate and communicate with freight forwarders and customers to facilitate overseas transportation, ensuring timely shipment and clearance.
- Track and coordinate movements of ocean containers, LCL shipments, and road shipments.
- Place bookings with carriers and trailer operators.
- Meet deadlines and solve problems effectively.
- Work closely with the warehouse team, sending loading instructions and creating label templates for packaging.
- Maintain records of export paperwork and proof of delivery.
- Assist the Sales Team with day-to-day duties, including calling customers and processing orders, and proactively planning for school holiday closures.
- Provide clear and up-to-date international updates during weekly operations meetings, flagging any risks or delays.
- Use the back-order tracking document to highlight risks to orders and update settings for delays and stock availability.
- Support other teams within the business as needed.
Qualifications, Experience and Knowledge:
- Experienced with export customs clearance and formalities.
- Familiar with Harmonised Tariff Codes and understanding Incoterms.
- Possess good IT skills and knowledge of Excel, Word, and Outlook.
- Essential numeracy, oral, and written communication skills.
- Organised with strong attention to detail, able to operate under tight deadlines, and work flexibly as needed.
- Experience in a similar role within an office environment.
- Trustworthy and capable of maintaining confidentiality.
- Ability to learn, adapt, and take ownership of assigned tasks.
- Previous experience in an export logistics role with export documentation is preferred.
- Self-motivated and able to work independently, while also being a team player.
Contract Type: Full time: 5 days per week 8.30am -5.00pm
Salary: £25,500 to £28,000 – salary depending on experience
Contract Term: Permanent
Location: Elland, West Yorkshire – Office based
